Room Bookings

Important Notice!

From March 1st 2018 redevelopment works will begin on the SU's east wing. This means that room availability will essentially cease until the works are completed in September 2019.

The University have offered to accomodate bookings that would have occured in the SU including Bulk Bookings.

More information on this to follow.

Welcome to SU bookings. 

We manage all of the rooms within the Students’ Union (see the section below for University room bookings) and process requests for outside spaces on campus for students from student groups and individual students.

Please ensure all your bookings coincide with our opening hours.

If you are a Student Group committee member for 2017/18 and wish to book rooms in the SU, as of the start of term this training module on room bookings is compulsory. Please complete the the training if you wish to book spaces this coming academic year.

Event Form

For one off event bookings within the students union. It only applies to bookings made in the academy spaces in conjunction with chargeable services such as tech/bars/security.

6 weeks

External campus spaces

For events held on the campus outside of buildings e.g. in front of the library.

4 weeks

Repeat bookings

For repeat bookings required within the SU.

How to book a room/space with us:

  1. Read through the ‘SU Bookings Terms and Conditions of hire' – you will need to comply with this process to hire a room/table with us.
  2. Student groups must complete and submit the relevant paperwork (event notification, updated master risk assessment, external visitor form, food notification etc) to unionactivities@le.ac.uk . See here for further details. Your room cannot be approved without these relevant forms.
  3. Complete and submit the relevant electronic SU bookings forms before the minimum notice period (forms are on the left hand side menu of this page). This form provides the contract of agreement to the terms and conditions of hire (see above).
  4. Await confirmation from subookings@le.ac.uk, your room/space is not confirmed until you have received this.

*External refers to anybody not currently a student or employed by the University of Leicester and the Students' Union.
